Your data at GreenerThumbAI

What we collect

• Account. Your email address, a securely hashed password, your display name, your optional username, your reminder timezone and your settings.
• Your collection. Plants, gardens, growth and care logs, care schedules, notes and the photos you upload. We remove camera metadata such as GPS coordinates from uploaded photos before storing them.
• Community activity. Help-ID posts and replies, wild sightings (including the private exact location you enter), wiki photo submissions, votes, reports, hybrid registrations and feedback messages.
• Notifications. Your in-app activity feed and, if you turn on push notifications, the browser push address and device description needed to deliver them.
• AI features. What you send to Ask Sabo (the AI assistant), the plant assistant, photo help or add-plant prefill goes to Ollama Cloud to produce the answer. We do not keep it afterwards; Ollama may. See How the AI features use your data.
• Technical records. Request records containing a random request ID, the route, the response status and timing, used to keep the service running and fix problems. They do not contain your messages, photos or password.

What other people can see

• Plants you mark public, and the fields you choose to share, appear on public plant pages and on your Shelfie at /u/your-username.
• Help-ID posts, replies, sightings, approved wiki photos and published hybrids are public, with your display name or username.
• Exact sighting coordinates and private locality stay visible only to you and moderators. The public sees an approximate area, a broad place name, or nothing, depending on your choice and the species' protection rules.
• Photos are stored on our image server at unguessable addresses. Anyone who has a photo's address can open it, so avoid uploading anything you would not want shared.
• Moderators can see reported content, private sighting locations and feedback messages to keep the community safe.

How the AI features use your data

• Who answers. The AI features run on Ollama Cloud, a hosted AI model service run by Ollama, an outside company. We do not run the model ourselves.
• What is sent. When you use Ask Sabo, the plant assistant, photo help or add-plant prefill, we send Ollama your message, any photo you attach, and, only when you choose a plant, that plant's details and recent logs.
• What we add. With your request we send instructions we have written and tuned for plant care, plus relevant passages from the GreenerThumbAI plant reference, so the answer draws on that knowledge instead of the model's general guesswork.
• Ollama may store it. Ollama receives and processes everything above and may keep it under its own privacy policy. We do not control what Ollama keeps or for how long. Do not send anything in an AI request that you would not want an outside company to see.
• Your agreement. You need to agree to this notice before using the AI features. Everything else in GreenerThumbAI works without it.
• Conversation history. We do not store your AI conversations. On our side, your message and the reply exist only for as long as it takes to answer you, and anything you choose to save — a growth entry, a plant record — is saved as your own record, not as a conversation.
• If that changes. We plan to keep conversations for a limited period so we can see where the assistant answers badly and fix it. That is not switched on: when it is, this notice will say so before it starts, with the retention period and who can read them.
• Never sold. We do not sell what you write here, and we send AI requests to Ollama only to produce your answer. What Ollama does with requests it receives is governed by its own policy.
• Answers are suggestions. AI drafts are never saved to your collection until you review and save them.

Services that process your data

We do not sell your personal data and we do not use it for advertising.

How long we keep it

• Your account, collection and community content stay until you delete them or delete your account.
• AI conversations are not stored at all, so there is nothing to delete.
• Technical request records are kept only as long as needed to operate and secure the service.
• Database backups kept by our providers expire on their normal schedule, after which deleted data is gone from them too.

Deleting your account

Go to Settings → Delete account. You will need your password. Deletion happens immediately and cannot be undone.

Removed

Your account, plants, gardens, growth and care logs, photos that no other record uses, Help-ID posts and the replies on them, your replies, sightings, wiki photo submissions and the votes on them, your votes, feedback, notifications, push subscriptions and your unused invites. A reply of yours that confirmed someone else's Help-ID is removed and their post reopens.

Kept without your identity

Reports you filed stay with moderators without your name. Published hybrid pages other growers use stay online without crediting you. Moderation records keep an internal ID that no longer links to any person. Notifications other members already received show "A former member" in place of your username; a notification that showed only your display name may still show it.

Your choices

• Edit or delete your plants, logs, posts and sightings at any time.
• Choose which plants and fields are public, and how precisely sighting locations are shown.
• Turn push notifications off in Settings or in your browser.
• Use GreenerThumbAI without the AI features; manual forms always work.
• Delete your account and its data, as described above.

When this notice changes in a meaningful way, we will update the date above and ask members to review it. Signed-in members can reach us through Settings → Feedback.
